We are looking for a volunteer to support the administration of the Board to enable it to operate efficiently and effectively. 

Responsibilities include:

  • Organising and scheduling meetings
  • Collecting and arranging data from committees and departments 
  • Assisting and administering board members regarding inquiries and requests 
  • Establishing and maintaining strong collaboration with key stakeholders
  • Organizing and sharing information about board meetings
  • Sending critical notifications and updates promptly
  • Viewing and filtering incoming materials such as messages and correspondence
  • Preparing agendas and board packs for board members
  • Keeping records of meeting minutes
  • Reviewing and maintaining relevant documentation:
  • Maintaining confidentiality and keeping sensitive materials secure
  • Having quick access to document resources during the meeting 
  • Preparing papers for review or approval of minutes by board members
  • Ensuring documentation is up to date
  • Monitoring and coordinating of action items and results
  • Distributing post-meeting documents
  • Tracking pending action items before and after the meeting
  • Monitoring task ownership against the set deliverables and timelines
  • Complying with relevant policies and laws including GDPR.

Time commitment:  Approximately 4 hours per week to suit needs of board and role holder.  Includes evening meetings and may include occasional weekend meetings. 


What skills do I need?

  • Excellent organisation 
  • Excellent administration 
  • Clear communication 
  • Proficient in Microsoft Office software 
  • Familiar with Microsoft 365 
  • Subject to Enhanced DBS check.
